As a Sales and Event Coordinator at Alisal Ranch, you'll play a pivotal role in supporting our Sales and Events team.
From handling inquiries to orchestrating weddings, banquets, and group bookings, you'll ensure seamless coordination and exceptional service for our clients.
Key Responsibilities:
Manage incoming calls, emails, and correspondence from event planners and organizers, ensuring timely responses and appropriate routing.
Create and maintain files for booked groups and events, facilitating smooth handovers between departments.
Generate Catering/Lodging (C/L) accounts for catering-only events and update relevant documentation.
Maintain and update group calendars and forecasts, ensuring accuracy and accessibility.
Coordinate with various departments for pre-event and post-event activities, including updating Banquet Event Orders (BEOs) and communicating guest counts and changes.
Assist in internal event planning, including creating BEOs and coordinating with relevant departments.
Act as a liaison between Sales/Events and other departments, ensuring clear communication and smooth execution of events.
Prepare materials for trade shows, including booth setup, collateral preparation, and logistics.
Conduct property tours for prospective clients and coordinate site visits.
Provide support during events as directed, collaborating closely with the Executive Chef, Food and Beverage Director, and banquet team.
Qualifications:
Strong written and verbal communication skills.
Proficiency in Microsoft Excel, Word, and Internet software.
Valid driver's license and ability to transport guests.
Ability to work independently and multitask in a fast-paced environment.
Physical Demands:
Ability to sit, stand, walk, and lift up to 25 pounds.
Visual acuity and manual dexterity required.
Compensation
$20-$24 per hour DOE
